EIM & The Hub Global Meeting Services was envisioned, established, and is managed by experts with over 80 years of collective conference planning, incentive travel, association management, and government relations expertise. We maintain a competitive edge by attracting and recruiting accomplished experts in specific fields and retaining these professionals through a work environment that promotes cooperation, collaboration, and the free expression of ideas.

When EIM began in 1995, the hours were long and the clients were few. Now some fourteen years later, with the merger of The Hub Global Meeting Services, the hours are still long but the client roster now includes some the world's leading corporations and government agencies.

Sourcing - Site + Destination Analysis
We have an impressive network of resources and contacts worldwide - all of which we share with you. Our partners have travelled the world investigating and working with unique destinations and properties. We have forged personal alliances with hotels, DMC's, A/V Companies and related service vendors who share our same values.

Contracting and Negotiations
Our volume buying and longtime relationships ensure you receive negotiated rates and the best conference space and accommodations, including all concessions, favorable terms (cancellation and attrition), and risk mitigation, while adhering to your corporate guidelines and policy's.

Spend Management
We develop the program budget, manage the approval process for all logistical costs, identify and negotiate cost savings opportunities with all vendors, including seasonal pricing, multi-year contracts, and destination based deals.

Program Management and Operations
The Project Manager is your single source for all aspects of the project including pre conference planning meetings, registration, and on-site delivery. Our Project Managers and partners have operated programs in most major U.S. cites and over 22 countries worldwide. On site, they liaise with all of the contracted suppliers including the hotel, food and beverage, audio visual contractors, ground transportation and event entertainment and decor.

Accounting and Post Conference Reconciliation
At The Hub Global Meeting Services we believe in an open invoice philosophy. Our billings include budget to actual reconciliation; all back up invoices from the hotel and third party vendors organized as one comprehensive invoice. On-site during your program we meet daily with the hotel accounting department and related vendors to review their billing. This review process immediately addresses any errors, ultimately speeding up the final billing to you. Prior to any billing being sent out it is reviewed and approved by one of the partners. We typically reconcile our billings within 30 days of program completion.

Data Management and Reporting
Our proprietary technology is designed and managed by our own in-house IT Department. We can customize the registration process and back end reporting to accommodate just about any request providing reporting in real time. Also, optimal data management provides your Project Manager with the necessary information to track all of the negotiated components of your event to identify savings opportunity thereby reducing overall program costs.

Green Initiatives and Environmental Sustainability

Internally and with our meetings and events we make every effort to produce green meetings and events. We accomplish the conference objectives with minimal environmental impact. In many cases, contrary to popular belief, going green saves our clients money.

Here are some of the things we suggest to every one of our clients:

Review Menus
Look at reducing portion sizes and amounts. Move towards seated meals verses buffets.

Buy Local
Ask the F & B department or off site caterer to buy local seasonal products. We include these products in our menu designs.

Ask Presenters and Organizers
To reduce handouts and pre- conference materials. Check and see if the hotel has a dedicated TV channel to have meeting information broadcasted.

Recycle
Ensure all food / beverage / conference materials is recyclable and that it is recycled.

No Plastic Water Bottles
Use pitcher water or water fountains with reusable or recyclable drinking glasses.

Composting
Many hotels F & B departments are composting. Have all leftovers composed or donated to local farmers as food.

Donate
Discuss donating excess / leftover foods to be donated to local food banks.
